Job Title: Asset and Systems Coordinator – Public Lighting
Job Summary:
The Asset and Systems Coordinator is responsible for assisting the project manager in managing public lighting assets, coordinating ticketing system, looking after system updates in line with client needs, scheduling and planning, handling customer complaints and responses, tracking and managing hand tools and power tools with staff, and performing general administration tasks. They are responsible for engaging with a variety of clients, ensuring appropriate and professional responses, with guidance from the project manager as needed.
Responsibilities:
Systems Coordination
Assist the project manager in managing public lighting assets.
Coordinate and track ticketing system updates and performance.
Schedule and plan tasks in line with client needs.
Monitor employee performance on tickets and tasks.
Oversee the asset system’s ticket lifecycle, ensuring all tickets are triaged promptly, investigated when needed, and resolved with actionable solutions.
Ensure all tickets are completed within their designated timeframes, minimizing the risk of any becoming overdue.
Support system users with queries, troubleshooting, and access management.
Identify opportunities to streamline processes and improve system efficiency.
Ensure data accuracy, completeness, and consistency across platforms.
Produce reports and present KPI’s for relevant areas.
Identify opportunities for route optimisation
Perform general administration tasks.
Asset Management
Maintain an up‑to‑date asset register, ensuring accuracy across all systems.
Coordinate the allocation, tracking, and return of company assets (e.g., hand tools and power tools).
Ensure ongoing certification, calibration, and maintenance of specialized tools to uphold accuracy and compliance.
Supply employees with tools appropriate to their role in accordance with company policy.
Reporting & Analysis
Support with preparation of daily/weekly/monthly reports.
Prepare regular reports on asset utilisation, system performance, and compliance.
Provide insights and recommendations based on data trends.
Support management with ad‑hoc reporting and analysis as required.
Customer Support
Handle customer complaints and provide responses.
Engage with clients and ensure professional communication.

Person Specification
Education
Secondary education or equivalent is required.
Required Qualifications:
A qualification in Microsoft Excel, Word, or Microsoft systems is desirable.
A qualification on Microsoft Project is a distinct advantage
Experience:
Minimum of 3 years of experience in construction or a related field.
Experience in asset management, systems administration, coordination, or a similar role.
Strong analytical and problem‑solving abilities
Experience in analysing and interpreting data is required.
Experience of planning and organising jobs/projects.
Proficient in Excel, Word, and general PC tasks.
Experience in utilities services, or public lighting is also beneficial.
Experience in AutoCAD is also desirable
